Simple step-by-step guide for MargERP operators — RAJ SOFTWARE SOLUTION
Quick Operator Checklist (Read first)
  1. Backup MargERP data (important).
  2. Install GST patch and confirm version in Menu → GST → GST Tax Rates.
  3. Enter company and confirm current financial year.
  4. Set 12% → Yes (recommended). Keep 18% → No (recommended). Review 28% HSNs.
  5. Shift OLD MRP to H-Rate and Shift MRP → All (recommended).
  6. Type exact confirm phrase: PLEASE CHANGE MY GST.
  7. Test invoices, verify HSN/MRP, then resume live billing.
⚠️ Important Notes (Read First)
  • 📌 Backup: Take a full backup before you start.
  • 📌 Effective Date: These changes apply from 22-Sep-2025. Bill using new MRP from this date.
  • 📌 Print MRP: Government did not require printing both old & new MRP together.
  • 📌 Old Transactions: Old sales/purchases/returns remain on old GST unless changed manually.
  • 📌 Old-dated bills during billing: Press F2 to change GST for that bill. If asked to update item master, choose NO unless you intentionally want to change the master.

1. Update GST Patch (Mandatory)

Why: Without the patch the GST utility and the new options won't be visible.

  1. Download patch from: https://download.margcompusoft.com/softwares/gst.zip
  2. Close MargERP if open, then open it again — the patch usually auto-applies from your Downloads folder.
  3. If patch did not auto-apply, copy the downloaded file into the MargERP installation folder and restart MargERP.
  4. 👉 Menu path to check: Menu → GST → GST Tax Rates — top of screen will show the GST patch version.

2. Pre-check (Before you start)
  • Take a full backup — keep a copy in a safe folder.
  • Enter / login to the company where changes must be applied.
  • Ensure the current financial year is selected.
3. GST Structure — 12% slab

Why: Government moved many 12% items to 5% (some to 0%).

👉 Menu path: Menu → GST → GST Tax Rates

  • Set GST Structure 12% to Yes (this will target all items currently at 12%).
  • Choose Want to Change MRP → Current Tax Basis if this is the first GST/MRP change you run.
  • If running the change again later, choose Old Tax Basis.
  • Do not change the Replace MRP ratio shown — keep default to avoid unrelated MRP shifts.

4. GST Structure — 18% slab

Why: 18% slab is mixed — some HSNs stay at 18%, some reduce to 5%, and a few to 0%.

👉 Menu path: Menu → GST → GST Tax Rates

  • Set GST Structure 18% to No (safe default — avoid bulk change).
  • To change specific 18% HSNs, go to Menu → Masters → Master → HSN/SAC Master and edit only the HSNs that need updating.

5. GST Structure — 28% slab

Why: Many 28% items are reduced to 18%; certain luxury/sin items may move to 40%.

👉 Menu path: Menu → GST → GST Tax Rates

  • Do not assume all 28% → 18% automatically — verify the HSN list for exceptions.
  • Change only after checking HSN details in Masters if required.
6. Shift OLD MRP (safety)

Why: We save the old MRP so you can check / restore if needed.

👉 Menu path: Menu → GST → GST Tax Rates (Shift MRP option)

  • Shift OLD MRP in: H-Rate (default) — stores previous MRP value.
  • Shift MRP: All — recommended so every affected item keeps old MRP saved.

7. Confirm to process

👉 In the GST utility (Menu → GST → GST Tax Rates) you must type the confirmation phrase exactly:

8. Process — automatic actions

Once confirmed, the system will:

  • Apply GST changes: 12% → mostly 5% (some 0%); 28% → mostly 18% (some 40%); 18% changes only if you changed HSNs.
  • Recalculate MRPs proportionally (according to the Replace MRP ratio you left as default).
  • Save old MRPs into H-Rate for every shifted item.

Important: Historical transactions (past sales/purchases/returns) remain unchanged unless you edit them manually.

9. Post-check (verify before live billing)
  • Check sample items: Menu → Masters → Master → HSN/SAC Master — confirm new GST and H-Rate saved old MRP.
  • Create a sample invoice(s) and verify printed MRP and GST on bill.
  • Run GST summary/report and confirm totals.

Notes & important clarifications
  • Government has not required printing old + new MRP on bills — follow your business policy.
  • Do not change Replace MRP ratio unless you understand the math — changing it may change MRP unrelatedly.
  • When changing MRP second time, prefer Old Tax Basis to properly reflect old transactions.
  • For old-dated invoices created during billing, press F2 to update CGST/SGST/IGST according to old rate.
